Asset/CI Form Field Descriptions
The Asset/CI record is used to track computers and printers in TeamDynamix. It is designed to house nearly all of the information about a physical computer that might be relevant to a desktop support technician.
This document defines each field and provides additional instructions for selecting the appropriate value in fields with multiple values to choose from. Where applicable, you can click the blue question mark next to the field name to display a definition.
Asset/CI Form in Team Dynamix
Asset ID | Unique identifier for this specific record in the TeamDynamix database. |
Form | Asset record type: Default Asset Form (computer) or Printer Asset Form (printer). |
Name | The name of the asset. |
Serial Number | The serial number of the asset. Dell refers to this number as a “Service Tag” |
Service Tag | The organization-defined tag number for the asset - commonly referred to as “Asset Tag” to avoid confusion with Dell terminology. |
Product Model | The product model of the asset. |
Status | In Use: Currently being used as a permanent machine. On Loan: Currently being used as a loaner machine. In Stock - Available: In stock, and not currently earmarked for anything. In Stock - Reserved: In stock, but reserved for a known purpose. In Stock - Pending Disposal: In stock, but awaiting disposal. In Maintenance: Being worked on; whether by NIT, Tech Repair, or the Manufacturer Retired - Disposed: Disposed of and no longer in stock. Retired - Donated: Donated and no longer in stock. Retired - RMA: Returned to vendor, defective or via warranty. Missing: Not in stock or in use - reason unknown. Missing - Lost: Confirmed as lost by NIT. Missing - Stolen: Reported as stolen and confirmed by NIT. |
Owner | The current user of the asset. |
Location | The actual/physical building where this asset is located. OR The campus building where the person would reasonably work if they were on campus. This helps route the ticket to the correct Neighborhood IT group. Note: “STOCKROOM” should be selected if an asset has any In Stock status. Note: “Offsite” should only be used when the MWS asset is at a non-campus U-M facility, such as the D.C. Law Office or the Sea Grant facility on Mackinac |
Location Room | The room number where the asset is located. Value ends in a two digit number to represent the floor number. Note: Assets with any In Stock status should have a stockroom for this field |
Function | Primary: User’s primary machine. Dedicated: Used by only one person, but is not their primary device. Shared: Machine is shared by more than one user - should be assigned to the responsible supervisor. Loaner: Part of a loaner pool for temporary assignment to users. Kiosk: Specialized machine with a custom loadset (e.g., timeclock PCs attached to a card swiper). Lab: Used for academic research or lab work - usually assigned to a professor or lab manager. Digital Sign: This is a Digital Signage workstation attached to a large display in a common area |
Business Service | MiWorkspace - Managed: Machine MWS-imaged and managed by MiWorkspace. MiWorkspace - Unmanaged: Unit subscribes to MiWorkspace, but the machine was not, or cannot be MWS-imaged. Digital Signage: Digital signage computer managed by the ITS Digital Sign team, but may be supported by MiWorkspace if the owning unit subscribes. Campus Computing Sites: Computer lab machine managed by the ITS Sites team. PCI: Payment Card Industries - machine managed by a specialized Engineering group to handle payments. Unit Managed: Unit has sole responsibility for the support of this machine - NIT is not involved. |
Last Inventoried | Used to indicate when an NIT member last saw this machine physically - input using this format: “MM/YY-uniqname” (e.g., 07/20-knemchik) |
Notes | Often includes the original ticket number where the machine was purchased, but is a multi-line freeform field that can hold any helpful information necessary. Use as needed but be careful about deleting any data from this field. |
These fields above are solely populated by Izzy (Macs) or SCCM/Health Check (PCs). They cannot be directly edited in the form.
Owning Acct/Dept | The current owning account/department of the asset. |
Acquisition Date | The date the asset was purchased or acquired. |
Expected Replacement Date | For our purposes, this is the Warranty Expiration Date. |
PO Number | Purchase Order number. |
Purchase Shortcode | Departmental shortcode used for purchase. |
Disposal Shortcode | Departmental shortcode used for disposal. |
Users Tab
Most of the time, the Users tab on the asset record will have two entries:
The individual who is the Owner of the machine.
The Owner’s associated Account/Department.
Tickets Tab
The Tickets tab on the asset record will display any open tickets associated with the asset. Click +New Ticket to create a new ticket and associate it with the asset, or click +Add Ticket to associate an existing ticket with the asset.
People App
In addition to searching for a specific asset record from the main Assets list, you can also open the People app from the blue grid menu in the upper left of TDNext, and then search for an individual person in order to locate their associated assets.
