MiWorkspace Asset Tag and Asset Record Request

What kind of devices get tagged?

  • MiWorkspace - Managed computers

  • MiWorkspace - Unmanaged computers

    • such as iPads, Chromebooks, and other computers the unit wants to track

  • Digital Signage computers

    • as long as they are owned by a MiWorkspace-subscribing unit

What kind of devices don’t get tagged?

  • Unit Managed computers

  • Computers owned by non-MiWorkspace units

  • Peripherals

    • such as printers, monitors, and docking stations

  • Furniture

    • such as desks, chairs, risers, and stands related to computers

Requestor and Responsibility Guidelines

  • Requestors can be any of the following:

    • Device user, if they are the most appropriate person to receive updates

    • Delegate, such as an executive admin to avoid contacting a VIP

    • Unit contact, where they have initiated the request and require updates on its progress

    • Neighborhood IT staff member, where the Responsible Technician sets themselves as Requestor

  • The Request ticket stays assigned to NIT while tasks will created for Depot based on the form choices

Filling out the Request Info

Start by selecting one of the following three radio buttons, which will dynamically show relevant form fields:

I need a new tag and a new record created

Machine needs to be fully inventoried

Fill in all of the Request Fields so Depot has the necessary info to create the full asset record and dispense a tag to NIT.

I need a record created

(I already have a tag)

 

Asset record needs to be created in TDx

Unused tag previously delivered to NIT

Fill in all of the Request Fields so Depot has the necessary info to create the full asset record and provide the tag number that you intend to use so it can be put in the record during creation.

I need a new tag for an existing record

(fill in the Asset field below)

 

Asset record already exists in TDx

NIT needs a unused replacement tag

Provide the serial number and the existing tag number that Depot needs to issue a new tag for. Please be sure to attach the asset in question to the ticket via the Asset/CI field or tab.

Tips and Other Notes

  • Product Model

    • Many of the fields are now dropdowns with the actual TDx options

    • If the model of the item needing a record does not exist in the dropdown, select this option:

      • Model Not in Catalog

    • Then provide the model information in the New Product MFR and Model Name field that appears

  • Purchase Order & Shortcode

    • If the machine was purchased at all recently, the unit must provide this information by way of a receipt or an invoice, which can be emailed to NIT and/or depot-purchasing@umich.edu

    • Very old machines are exempt from this requirement, since it’s unreasonable that the unit would have the info in that case

  • Owning Department (Name or Number)

    • Ideally both Name and Number would be provided by NIT

    • TeamDynamix uses the following syntax: [dept name] Dev Svcs & Strategic Solutions 638000 [dept id]

    • NIT or Depot can convert the shortcode to the correct TDx value using the ITS Chartfields Converter
